Project Description: Volunteer Management

StARS recognizes the contributions that volunteers bring to the organization and seeks to create an environment that is mutually beneficial to volunteers, staff, and clients. As StARS works with a high number of volunteers, it is necessary to manage the recruitment, activities and departures of volunteers who provide all of StARS programs with valuable assistance.

Role

Under the supervisionw of the StARS’ Director of Programs the Volunteer Coordinator is responsible for recruiting, orienting, and ensuring supervision of volunteers to meet the needs of various StARS programs and the well-being of volunteers. The Volunteer Coordinator works closely with all program coordinators to assess their volunteer needs and place volunteers into their programs.

Responsibilities

Recruiting Volunteers

  • Communicate regularly with program coordinators to maintain knowledge of current and upcoming volunteer needs throughout StARS programs. Assist program coordinators to identify ways their programs can be enhanced by the inclusion of volunteers.

  • Advertise volunteer positions and administer applications. Interview volunteer applicants as appropriate.

  • Match available volunteers or recruit and acquire volunteers to fit the needs identified by each program, often within certain deadline (e.g. finding volunteer teachers before classes begin or volunteers before certain training modules start).

  • Create descriptions for new volunteer positions and provide volunteers with resources needed for the role.

  • Respond to all volunteer inquiries in a timely manner.

  • Provide information for or host outside parties interested in learning about StARS programs.

  • Identify, build, and maintain contacts with outside partners for volunteer recruitment.

  • Other duties as assigned.

Orientating, Training, Supervising, and Recognizing Volunteers

  • Ensure all volunteers receive an orientation including the StARSPolicies and Procedures,Code of Conduct, Safety and Security as well as an explanation on their individual volunteer roles.

  • Participate in orientations and trainings with program staff as appropriate specific to the needs of the volunteers in each program.

  • Perform class observation (at least one per term) for volunteer teachers in the Adult Education Program and Professional Development Courses programs.

  • The Volunteer Coordinator may occassionally need to fill in for volunteer teachers in the event that no other alternative solutions are available.

  • Ensure regular supervision of all volunteers by the Volunteer Coordinator or another staff member as appropriate.

  • Be available for volunteers by phone, email, or in office and respond to volunteer questions or concerns, including outside of regular working hours if necessary.

  • Identify any additional training necessary for volunteers to be successful in their roles and work with supervising staff to implement needed training.

  • Recognize volunteer efforts and encourage volunteer retention through the monthly Volunteer Newsletter and activities for all volunteers.

  • Administer end-of-service surveys to volunteers who are leaving. Review any feedback from volunteers and share with other program coordinators as needed to identify ways to improve volunteer activities.

  • Other duties as assigned.

    Supervising the Volunteer Support Officer

  • Train and supervise the Volunteer Support Officer, including in the collection of volunteer hours and monitoring and evaluation tools.

  • Provide regular feedback and support to the Volunteer Support Officer.

Administrative Duties

  • Maintain accurate records of all volunteers, including personnel documents, emergency contacts, and a volunteer database.

  • Provide a monthly volunteer update to all staff highlighting current volunteers, numbers by department and current and upcoming needs.

  • Perform some tasks related to the StARS facebook page.

  • Participate in general office tasks.

  • Attend bi-weekly management meetings and other interoffice meetings and trainings as appropriate.

  • Other duties as assigned.

    Requirements

  • Bachelor’s degree required.

  • English being the official language of StARS, the PS Director must be fluent in oral and written English. Arabic or a refugee language is an advantage.

  • Previous work experience in development, volunteer coordination, or administration.

  • Ability to work with individuals from diverse backgrounds.

  • Ability to manage multiple tasks efficiently and in a timely manner.

  • Commitment to professionalism and collaboration.

  • Computer proficiency, including Microsoft Office.

Hours: 40 hour work week and other hours as required. Flexibility is essential.

Supervised by: Director of Programs

Salary: EGP 4200 per month (plus EGP 100 monthly medical allowance, and EGP 50 pension contribution).
